VMD and VZD documents in harvesting: what to digitise first?
For a harvesting company, paperwork matters as much as every cubic metre cut on site. Felling permits from the State Forest Service (VMD), data from the State Land Service (VZD), contracts and waybills often sit in folders that are hard to track down six months later when an auditor asks.
The VMD document flow
VMD checks that each cirsma — the cut block approved for felling — complies with the regulations. In a digital workspace the felling permit, the cut-block plan, volumes and completion notes should be tied to a specific cadastral property and work order, not to a generic folder called "2026". mySilva imports the felling permit data straight into the project, so each work order is built on stands that actually have a permit.
VZD and property data
VZD cadastral data shows the property boundaries you check the actual cut block against. mySilva displays VZD cadastral boundaries, refreshed weekly, on the same map as the State Forest Register stands and the cut-block boundary you have drawn. With all of these on one map, there is less risk of getting the property or the area wrong.
What to digitise first
- A work-order hub — one record per job holding the VMD permit, the cut list, the buyer and price for each assortment, and the PDF document.
- Price sources — buyers' price lists with versions and dates, so an audit can see why a particular buyer was chosen.
- Waybills, measurements and settlements — a mySilva waybill PDF for every trip (a company document, not the state e-waybill), mill measurement CSV imports matched to trips, and settlements.
- FSC records — a requirement checklist with evidence attached, if your company works within a certified chain of custody.
An alternative to Excel at company level
Spreadsheets are still handy for analysis, but for day-to-day records harvesting software cuts out duplicate entry. If you are looking for harvesting records without Excel, make sure the system understands how things work in Latvia — the State Forest Register, VMD permits, local assortment names and the distance to each mill yard.
Next steps
In the mySilva company workspace, documents are archived against the work order and the cadastral property. See the full module overview, read more about trips and waybills under logistics and traceability, or apply for the free 2026 pilot.
